Who we are

Arkos AI, Inc. (“Arkos”, “we”, “us”) builds AI agents that handle administrative and revenue-cycle work for dental and healthcare practices — preparing and filing insurance claims, working denials and appeals, posting payments, following up on accounts receivable, and helping the front desk communicate with patients. We are a United States company. This policy explains how we handle personal information on this website and in our own business operations.

Scope — and what this policy does not cover

What this policy does cover: this website, our marketing and sales activities, and our general business operations.

If you are a patient of a practice we serve: contact your dental practice directly with questions about your records, bills, or the messages you receive — Arkos acts only on your practice’s instructions. To stop receiving text messages, reply STOP to any message.

Information we collect

Information you give us. If you submit our contact form, we receive the name, practice, email address, and message you provide. If you email or call us, we receive the contents of that correspondence.

Information collected automatically. Like nearly every website, our hosting infrastructure keeps standard server logs — IP address, browser user agent, pages requested, and timestamps — used for security and operations. We also collect usage analytics, described in the next section.

Business contact information. As a business-to-business company, we maintain names, titles, and business email addresses and phone numbers for prospective and current client contacts. We obtain this information directly from you or from third-party business data providers.

Cookies and analytics

Our website uses PostHog, a product-analytics service, to help us understand how visitors use the site — pages viewed, clicks and similar interactions, approximate location derived from IP address, and device and browser information. PostHog sets cookies or similar identifiers in your browser for this purpose.

We use analytics only to improve our website and services. We do not use analytics for third-party advertising, and we do not sell this information. You can block or delete cookies in your browser settings — the site works without them — or contact us at the address below to ask about your data.

Text messaging

Mobile phone numbers and text-message opt-in or consent data are never shared with or sold to third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data is shared only with the service providers that deliver the messages on our behalf.

AI and your data

Arkos builds AI systems, so we are explicit about this: we may use de-identified, aggregated data to improve our systems and services. We do not use patient health information to train AI models except as permitted by our Business Associate Agreements with the practices we serve, and we never sell it.

Your choices and rights

You can request access to, correction of, or deletion of the personal information we hold about you. You can opt out of our sales outreach at any time — reply to any message, use its unsubscribe option, or email us.

Security

We protect personal information with encryption in transit and at rest, least-privilege access controls, and a formal security program whose safeguards are monitored through continuous compliance tooling. If a breach affects your information, we will notify affected customers without undue delay, as required by applicable law.

Data retention

We keep personal information only as long as needed for the purposes described above, or as longer retention is required by law. When it is no longer needed, we delete it or de-identify it.

Children

Our services are business-to-business and are not directed to children under 13. We do not knowingly collect personal information from children.

Changes to this policy

If we make material changes to this policy, we will post the updated version here and revise the “Last updated” date above. We will notify customers of changes that affect them.
